TERMS & CONDITIONS

Alpcord Network Event & Conferences Management Co. to act as the professional Conference Organizes (PCO) for the Congress in consideration and on the terms & conditions and on the terms , conditions herein after contained.

A. ORGANISATION

Pco will arrange Accommodation , Conference hall and Transport for delegates attending the symposium and will be responsible for :- All Accommodation Venue Management

Transportation

B. PAYMENT SCHEDULE

A total advance payment of 25% to be paid to hold all arrangements on a confirmed basis. One Night room charges on the basis of total no. of delegates registered to be paid before 45 Days. For others registering later , the room charges will be at the same fixed rate , and will be paid when they confirm their registration. 50 % of the total Accommodation charges to be paid 4 Week in Advance. Balance Payment at the time of check in to the Hotel All extra and any in incidental expenses at the Hotel to be paid directly to the Hotel.

C. CANCELLATION / RETENTION / NO SHOW
  • Once the final confirmation of number of rooms are advised to the hotel , if any cancellation takes place one night room rent will be charged as retention charges .
  • In case of the cancellation is received 40 days prior to congress dates 50% cancellation for the cancelled rooms will be charged as retention charges.
  • Any cancellation 15 days prior to congress dates retention charges shall be applicable for the total duration of the room booked .
  • However changes in the name can be made at least one week before the congress.
  • In case if the congress is cancelled , the organizer will be responsible for the costs payable in connection with the planning of the congress up to the date of cancellation , The time invested and all expenses directly attributed to the cancellation will be reimbursed for all expensed for all expenses incurred i.e. deposits , advances paid by SUMMIT – Alpcord Network on behalf of the organizer to venues or suppliers or any other party etc. on the instructions of the organizer.

D. FORCE MAJEURE

Neither the organizer nor PCO individually or collectively , shall be considered at fault in performance of their respective obligations if such performance is prevented or delayed because of war , hostilities , revolution , civil commotion , strike , epidemic , accident , fire , wind flood , earthquake or because of any law and order proclamation , regulation in the ordinance of government or subdivision there of or because of any act of God or for any cause beyond all reasonable control of the party affected .

The changing of venue dates , structure of the congress and attendance there in or the actions of the organizer will not be constitute the force Majeure State. It is incumbent on either party to inform other party within 30 days of such occurrence as mentioned above.
